Title of Position: Volunteer General Office Assistant

Position Purpose:

The volunteer General Office Assistant provides administrative support to Client Services of the Alzheimer Society of Alberta & Northwest Territories (AS ABNT).

In support of the AS ABNT mission, this volunteer position is critical to supporting people living with dementia and their care partners by completing the day-to-day organizational and administrative activities that ensure we are providing person centered support to every person who contacts AS ABNT. The tasks and responsibilities completed ensure the successful offering of exceptional programs, services, and support to AS ABNT clients and stakeholders.

Tasks / Responsibilities:

The responsibilities of the general office assistant include, but are not limited to:

  • General office administration support including:
    • Client information package preparation
    • Mailout preparation (stuffing envelopes, adding sticker addresses)
    • Updating display of information for clients
    • Creation of program binders
    • Stocking and display of the resource library
    • Stocking/preparation of tabling or information booth bins
  • Cleaning and organizing tasks such as dusting, washing windows, vacuuming/sweeping, general tidying of the office to have it presentable and a welcoming space for clients.
  • Additional tasks dependent on the volunteer interest could include seasonal tasks such as putting up or taking down decorations, or other special projects.
  • Follow guidelines, policies, and procedures for volunteering with AS ABNT

Skills:

  • Experience working in an office environment
  • Strong interpersonal skills, professional demeanor
  • General knowledge of computers, phones, and office equipment

Location / Setting: Grande Prairie office. May include sitting, standing, and or moving around the office dependent on tasks. Some lifting (up to 25lbs or 10kgs) may be required for tasks that include moving materials/resources out or into storage.

Time Commitment:

1-3 hours per week during regular office hours. Flexible schedule available

Supervision:

Primary contact and supervision will be through Client Services staff at the Grande Prairie office.

Evaluation / Feedback:

Annual reviews with primary staff contact will be completed. Feedback encouraged and surveys sent regularly by Volunteer Engagement Coordinator for opportunity to provide formal feedback.

Training Details

Initial onboarding and orientation to AS ABNT and volunteer-related policies and procedures will be completed by the Volunteer Engagement Coordinator. Specific training and orientation will be provided in person with the Client Services staff at the Grande Prairie office. Training will be provided on an ongoing basis as tasks may change dependent on the activities going on during the time of year. Onboarding/training may include:

Orientation to AS ABNT policies and procedures
Orientation of the office, supplies, and using office equipment (phone, photocopier, computer)
Restocking library materials and returns of books/videos/tapes.
Mailout preparation.
Completing program binders/packages.
Stocking and preparing tabling/information booth bins.
Updating display of information for clients.
Cleaning and organizing office spaces.
